What Were the Client’s Requests for This Program?
The project began when the client discovered MOTENAS JAPAN online while searching for ways to provide international team members with an authentic Japanese cultural experience.
Although the initial inquiry focused on experience programs, the client was also concerned about hotel arrangements, transportation, and support for overseas guests. Since the main purpose of the visit was an international company meeting involving participants from multiple countries, MOTENAS JAPAN also provided full support for the long daily sessions from 9:00 AM to 4:00 PM.
After learning that we could coordinate the entire program, the client entrusted MOTENAS JAPAN with the overall planning and management of the visit.

Day 0 | Arrival in Japan
Ahead of the guests’ arrival, we closely monitored the flight schedules for several days and anticipated the possibility of an arrival more than an hour earlier than planned.
By arranging transportation and staff with additional flexibility in advance, we were able to provide a smooth and perfectly timed welcome even when the flights arrived significantly earlier than expected.
By providing attentive support from the moment guests arrived at Haneda and Narita Airports, we were able to create a warm and reassuring welcome experience.
Several guests shared that the hospitality helped them forget the fatigue of their long journey.
As a Concierge Supporting the Beginning of the Journey
For guests arriving early in the morning, we introduced recommended spots around the hotel and nearby stores open during the early hours so they could enjoy their free time comfortably.
As some participants were visiting Japan for the first time, we also provided ongoing concierge support throughout their stay. Thanks to this attentive assistance, the guests were able to enjoy sightseeing and souvenir shopping with peace of mind.
Thoughtful Attention to Every Detail at Dinner
After all guests completed check-in, dinner was served from 6:00 PM. Since the group included guests with vegetarian and halal dietary requirements, we worked closely with the hotel in advance to carefully coordinate the menu.
As a result, the dinner received excellent feedback not only for its taste, but also for its beautiful presentation and wide variety of options.
Day 1 | MICE
One of the main purposes of this trip was an international business meeting held from 9:00 AM to 4:00 PM. MOTENAS JAPAN provided full support for the event, including meeting room setup, monitor arrangements, seating coordination, and refreshments.
To ensure a smooth experience for participants from multiple countries, we also introduced translation monitors and prepared individual name cards for each attendee. Thanks to these detailed arrangements, the meeting was highly praised for being both comfortable and well organized.
A Special Dining Experience Inspired by the World of Kabuki
After the meeting, guests traveled by private bus to a traditional Japanese restaurant for a special dinner experience celebrating the beauty of Japanese culture.
During the evening, guests enjoyed an up-close look at authentic Kabuki makeup and costume preparation performed by professional actors. They also participated in a Japanese sake tasting experience, learning how flavor and aroma change depending on temperature. The experience created a lively and memorable atmosphere for the entire group.
Thunderous Applause for an Up-Close Kabuki Performance
After the Sake tasting experience, guests enjoyed a powerful live Kabuki performance from an incredibly close distance. The immersive atmosphere captivated the audience, with many guests rising to their feet in excitement.
Many participants shared that they had never imagined experiencing authentic Kabuki from such proximity. The evening concluded with photo sessions alongside the performers, creating unforgettable memories for the entire group.
Day 2 | Traditional Japanese Culture Experience Day
The final day was dedicated to experiencing the best of Japanese culture and scenic beauty.
Participants were divided into two groups and alternated between a helicopter tour and a Kintsugi experience throughout the day.
During the helicopter tour, guests enjoyed a luxury flight around Mount Fuji before taking in breathtaking views of the Tokyo skyline from above. Meanwhile, the Kintsugi group experienced Japan’s traditional art of ceramic repair, creating one-of-a-kind pieces to take home as memorable souvenirs.
【Behind the Scenes: Coordinating an Unprecedented Large-Scale Helicopter Experience】
One of the highlights of this program was the Mount Fuji helicopter tour, which required highly detailed coordination behind the scenes.
Because helicopter operations involve strict weight balance and seating calculations, careful planning was essential for this large international group. Since final participant details continued changing until shortly before the event, schedules and seating arrangements were adjusted repeatedly in close collaboration with the helicopter operator.
Thanks to this thorough preparation, guests were able to enjoy a safe and unforgettable flight experience without any issues.
Many participants later shared how impressed they were to see Mount Fuji from such a close distance, while others expressed excitement about creating their own Kintsugi artwork to take home as a special memory of Japan.
A Fun Sushi-Making Experience to Conclude the Journey
To conclude the trip, all participants gathered for a final sushi-making experience.
Guided by professional sushi chefs, guests created sushi using ingredients such as tuna, salmon, and vegetable-based toppings prepared for halal and vegetarian guests.
As the final activity of the program, the venue was filled with smiles and lively conversations as participants shared their handmade sushi and took memorable photos together.
From Vegetarian to Halal: Flexible Support
1. Seamless Support During the Tasting Experience
During the dinner, guests participated in a sake tasting experience designed to introduce the depth of Japanese sake culture. However, we later discovered that one of the guests who had requested a vegetarian meal was actually Muslim and unable to consume alcohol for religious reasons.
Our team immediately coordinated with the restaurant staff to prepare a non-alcoholic mocktail alternative instead. Thanks to this quick response, the guest was able to enjoy the experience comfortably alongside the rest of the group without disrupting the atmosphere.
2. Careful Communication to Address Dietary Needs
Preparing halal meals on short notice can be difficult, but by carefully confirming which ingredients the guest could and could not consume, we quickly coordinated alternative meal arrangements from the following day onward.
Many Muslim travelers visiting Japan may choose vegetarian meals to avoid complicated explanations. However, through detailed communication and thoughtful coordination, we were able to provide meals that allowed guests to enjoy Japanese cuisine with confidence and peace of mind.
